Employee CommunicationsData Requirements
Remember that our job is too 'do it right'.  That cannot be done unless we have a complete undertanding of:1) The details of your Plans2) Your current Employee Communications Style, to include the written word.
#1 is critical.  Buried within these documents are 'business rules' that must be incorporated within the  underlying database for the Project. Pleasure reading?  No, but necessary.
Stack # 1 (Employee material)This should be easy.  Make a stack of the same materials that you give to employees, generally done 1x for new hires with supplemental memos prior to Open Enrollment or other benefit 'events'. Name the stack 'Employee docs' & rubber band it.
If there are employee handbook(s), include all variations (Salaried, Hourly, etc). Sales, bonus, incentive plans, Collective bargaining?  Include all existing employee communications.
Stack #2 (Vendor materials)Each employee benefits vendor supplies sales/marketing materials for distribution to employees.  Stack those employee communications materials that were not included within Stack #1.
If your vendor supplies web links specifically for employees, then include a list with URL's.
Make sure 'plan booklets' are included. Especially Life, LTD, STD.
Stack # 3 (SPD's, internal memos)Specifically, Retirement documents.  You may have several plans in place that affect different groups or classifications of ee's.  403(b), 457, 401, DC, DB, MPP, stock options, grants, Grandfathered plans.  All.
Include Internal policy memos (policy updates) not released to employees. When we are done, you will be the only person that knows more about your Plans.
Employee benefit statements require all of the above.
